Law Library Service Desk Manual: Reserves

Reserves - Introduction

A small amount of books are kept on reserve and are located just inside the door to the Technical Services area of the library. Whiteboards, dry-erase markers/erasers, and tech lending equipment are also loaned out as reserves items. The loan period for reserve materials is three hours for books and flash cards, 24 hours for audio CDs and 7 days for DVDs. Promptly returning reserves materials is important to ensure equal access for all students. Failure to return items on time will result in fine and can also result in the temporary suspension of the student’s WestLaw account.

Checking Out Reserves and Ready Reference Materials

Follow normal checkout instructions in Alma.

Checkout time for Reserves is limited to three hours (this is displayed in military time or a 24-hour clock on the record). Reserves items may be renewed only if another patron is not waiting for it. This includes whiteboards and marker kits.

Overnight Circulation

Some reserve materials may be checked out overnight. These materials may be checked out one hour before closing and must be returned within one hour of the library’s opening the next day. These items are limited to books, CDs, and flash cards. Tech lending items must be returned at the end of each day.

Evening Student Checkout

Some reserve materials may be checked out overnight. These materials may be checked out one hour before closing and must be returned by 6:30pm the next day.

Click on the calendar icon above the student’s name.

Leave the default as For this checkout only, then click on the diamond icon next to the empty box.

Choose the next day as the due date and change the time to 6:30 PM (SIRSI will automatically change this to 18:30 military time).

Click OK twice, then checkout the item as usual. Evening students may only check one item out overnight at a time. Titles that are being heavily used at the time and North Carolina bar exams do not circulate overnight. If you are unsure, ask an Access Services staff member.

Course Reserves

Faculty may place material on reserve for individual courses by contacting their library liason or the Collection & Access Services Librarian. Should a faculty member come to the Service Desk to ask about placing an item on reserve, please write down the name of the faculty member and the course name the items are for on a piece of paper and inform the Collection & Access Services Librarian that a faculty member wishes to place the materials on reserve. You may also pass materials to the Cataloging & Metadata Librarian if the Collection & Access Services Librarian is not available.

Checking Out Faculty Personal Copies on Reserve

Items are arranged by faculty last name on the top shelves just inside the door to technical services. Retrieve the book and then follow the normal checkout instructions. Please note that faculty personal copies of materials will not have an RFID tag or a barcode in the back of the book. Instead, the barcode will be placed on a paper strap wrapped around the front cover of the book. Use this barcode to check the item out. You cannot use the pad.

CDs

Some books actually have a CD enclosed on the back cover.  These CDs will have a separate barcode attached to the clear case that needs to be scanned also in order to check out the CD with the item.

Other CDs are located in Reserves and have barcodes on their cases.  If the CDs are in a set, each individual CD of the set must be checked out separately.  Barcodes are on the cases. These CDs circulate for 24 hours. You will need to manually change the date using the calendar icon in SIRSI Workflows in order to ensure that Reserves CDs check out for 24 hours. Make sure to tell the patron the due date, so they are aware of this.

Follow the same steps to check out a book for a CD, except ensure the CD checks out for the same length of time as the book.

If a student needs access to a CD player, the Law Library has two CD/DVD readers available for In Library only checkout. They are located in the Tech Lending cabinet at the desk.

** Please note that many audio titles are now available in the online study aids databases and can be accessed without the need for a CD player.
