Law Library Service Desk Manual: Scheduling

General Information

The Law Library uses a program called LibStaffer to manage Service Desk schedules and student/staff availability. The schedule is completed at the beginning of the semester by the student supervisor and will be available for you to view. It is your responsibility to check the schedule regularly and to be aware of when you are scheduled to work. The current week's schedule will always be posted to the bulletin board behind the Service Desk.

All student workers are expected to work regular weekday evening and weekend hours as assigned. Regularly missing shifts without communicating with your supervisor is considered unacceptable for continued employment.

LibStaffer

In order to use LibStaffer, your supervisor must create an account for you. You will receive an email with a link that you must respond to in order to create a password and finish setting up your account. LibStaffer is an online scheduler and is accessible to you from on campus or off.

From within LibStaffer, you can view your upcoming shifts, request time off, swap shifts with another student, or view the entire desk schedule. Swapping shifts with another student through LibStaffer will automatically send a notification to the student supervisor of the swap. You may also choose to split your shift into two, in order to only give up or swap a small portion of the shift.

Tardiness & Missing Shifts

If you are going to be late, first notify your supervisor via text (919-880-6668). If there is no answer, call the Service Desk (919-530-5189). Be sure you speak to a library staff member and notify them of your issue. Let them know you have not been able to reach the student supervisor.
If you need to miss a shift in normal circumstances it is best to schedule the time off in LibStaffer before the week of that shift. However in some instances, such as illness, you may not know till the day of the shift that you need to call out. In such a situation, first notify your supervisor via text (919-880-6668). If there is no answer, call the Service Desk (919-530-5189). Be sure you speak to a library staff member and notify them of your issue. Let them know you have not been able to reach the student supervisor. If you have time (and are feeling well enough), try to see if another student can cover your shift.

If you need to call out or call in late the day of the shift, please text or call instead of sending an email. Calling your supervisor or the Service Desk insures that someone will receive your message in a timely manner. The absolute worst thing you can do is not show up without communicating to a supervisor.

If you do not reach anyone at one of the numbers above, then try emailing lawlibrary@nccu.edu.

Failure to arrange coverage or let a supervisor know that you are not coming in, or missing too many scheduled shifts could result in removal from the schedule, as well as a warning and possibly dismissal.

Shift Changes & Requesting Time Off

If you change shifts with another student worker or get a substitute for your shift, contact your supervisor ASAP. Please give notice as early as possible.

If you sign up for a co-worker's shift, it becomes your responsibility. If something comes up and you can no longer work the shift you signed up for, you must find a replacement and contact your supervisor.

In general, requesting time off in advance should be done through LibStaffer. Be sure your supervisor is aware when you have made travel plans or when academic responsibilities limit your ability to work. You will be contacted before exams each semester to determine your last working day of the semester based on your exam schedule.
If you need to take off time around exams or for other academic purposes this is understandable, but you must notify your supervisor in advanced. We would like to work with you to make sure your academics do not suffer, but we require prior communication so that we can adjust the schedule as needed.

All requests for time off through LibStaffer will also send a notification to the student supervisor for approval. If you request time off with less than a week's notice, your request may not be approved. Should you need time off with short notice, it is your responsibility to come speak with your supervisor first, as well as to attempt to find another student to cover your shift.

Any time you wish to take time off when you already have a scheduled shift, you must attempt to find coverage on your own first. If you cannot find coverage, please speak with your supervisor as early as possible so they can assist. The only exception to this rule is when you call in sick or have an emergency the day of a shift. Simply let your supervisor know you will not be able to make it and that you need assistance in finding coverage.
